Terms of Use for Pinellas Practice-Day Alerts
These Terms of Use (“Terms”) govern your access to and use of the Pinellas Practice-Day Alerts website at pinellaspractice.org and any tools, maps, or practice-day guidance we provide (collectively, the “Service”).
By using the site, viewing the Practice-Day Status map, or submitting a pilot request form, you agree to these Terms.
If you do not agree to these Terms, please do not use the Service.
Who may use the Service
The Service is intended for:
  • Adult organizational contacts (athletic directors, coaches, school staff, league officials, etc.) who make decisions about youth practices and outdoor activities.
The Service is not intended for direct use by children. If you are under 18, you should only use the Service under the supervision of a parent or responsible adult acting on behalf of an organization.
What the Service does
Practice-Day Alerts:
  • Uses environmental and air-quality data (for example, heat index, wind-chill, precipitation, and air quality) to categorize conditions into OK / Modify / Cancel practice-day statuses.
  • Provides a map and status cards for specific practice areas or cities.
  • Offers written guidance to help coaches and athletic directors understand what OK / Modify / Cancel mean in practice.
  • For pilot organizations, may send practice-day email reminders based on the status for your sites.
We may update, refine, or modify the Service at any time.
Advisory only
The Service is advisory only. It does not replace:
  • Your organization’s written safety policies
  • National or state governing-body rules
  • On-site observations of weather, field conditions, or lightning
  • Medical or professional advice
By using the Service, you agree that:
  • Final decisions about whether to hold, modify, or cancel practice remain with your organization, coaches, and athletic directors.
  • You will follow any stricter policies set by your school, district, league, or facility, even if the Service shows a less restrictive status.
  • You will consider real-time conditions on the ground (such as rapidly changing weather, local lightning, or field hazards) that may not yet be reflected in the Service.
No medical or emergency advice
The Service does not provide medical advice and is not intended to diagnose, treat, or prevent any injury or illness.
  • If an athlete appears ill or injured, follow your organization’s emergency action plan and seek appropriate medical care.
  • In an emergency, call 911 or your local emergency number immediately.
Accuracy and availability
We work to provide timely and reasonable information, but:
  • Environmental and air-quality data come from third-party providers that we do not control.
  • Weather and air quality can change quickly. The Service may not always reflect real-time conditions at every field.
  • The site may occasionally be unavailable due to maintenance, outages, or technical issues.
Therefore, we cannot guarantee that the Service will always be accurate, up to date, or available.
Your responsibilities
When you use the Service you agree to:
  • Provide accurate information when requesting a pilot (practice locations, schedules, and contact details).
  • Use the guidance in conjunction with your own judgment, on-site observations, and your organization’s official policies.
  • Keep any login or access links we provide secure and not misuse the Service.
You agree not to:
  • Attempt to interfere with or disrupt the Service, servers, or networks.
  • Try to gain unauthorized access to any part of the system.
  • Scrape or harvest large amounts of data from the site for commercial or competing services without our permission.
  • Use the Service for any illegal or harmful purpose.
Intellectual property and permitted use
Unless otherwise noted, the content on this site—including the OK / Modify / Cancel framework, text explanations, graphics, and page design—is owned by or licensed to us.
You may:
  • View and print pages for your organization’s internal use (such as coaches’ meetings or parent information).
  • Share links to the site or to status pages with your coaches, staff, and families.
You may not, without our written permission:
  • Reproduce the Service as a separate product or commercial offering.
  • Host a competing service that substantially copies our text, design, or logic.
  • Remove any copyright, trademark, or attribution notices.
Third-party services and links
The Service may link to or rely on third-party services (such as weather and air-quality data providers, email services, or external guidance documents).
We do not control and are not responsible for:
  • The content or policies of third-party websites
  • The availability, accuracy, or reliability of third-party data
Any use of third-party sites or services is at your own risk and subject to their own terms and privacy policies.
Disclaimer of warranties
To the fullest extent permitted by law, the Service is provided “as is” and “as available” without any warranties of any kind, express or implied.
We do not warrant that:

  • The environmental data we receive from third parties will always be accurate or complete.
  • Following the guidance provided will prevent all injuries, illnesses, or incidents.
You use the Service at your own risk.
Limitation of liability
To the fullest extent permitted by law, Practice-Day Alerts and its operators, volunteers, and contributors will not be liable for:
  • Any injury, illness, or death that occurs before, during, or after practices or events, even if our Service was used as one factor in decisions.
  • Any indirect, incidental, special, consequential, or punitive damages arising out of or in connection with your use of the Service.
  • Any loss of data, interruption, or inability to access the Service.
If we are found to have any legal liability to you, that liability will be limited to the amount (if any) you have paid us for use of the Service in the 12 months before the claim arose (currently pilots are free).
Indemnification
To the extent allowed by law, you agree to indemnify and hold harmless Practice-Day Alerts and its operators from any claims, damages, or costs (including reasonable legal fees) arising out of:
  • Your use or misuse of the Service
  • Your organization’s decisions about practices or events
  • Your violation of these Terms or any applicable law
Changes to the Service and to these Terms
We may update or change the Service at any time, including adding or removing locations, features, or guidance.
We may also update these Terms from time to time. When we do, we will change the “Last updated” date at the top. Your continued use of the Service after new Terms are posted means you accept the updated Terms.
Governing law
This Service is operated from the State of Florida, USA. To the extent any dispute arises related to the Service, you agree that it will be governed by the laws of Florida, without regard to conflict of laws rules, and handled in appropriate state or federal courts located in Florida.
